Privacy Policy

This policy covers vetwiseai.com and the AI assistant that answers calls and messages for veterinary clinics using VetWiseAI.

It is written to be read by pet owners as well as by customers, so it is in plain language. Where a specific number matters — how long something is kept, who it is shared with — the number is stated rather than described.

1.Who we are

VetWiseAI is a product of ChurchWiseAI LTD, a Canadian corporation, operating as WiseAI Agency. Throughout this policy, “we”, “us” and “VetWiseAI” mean ChurchWiseAI LTD.

The company name is not a brand exercise — it is where the responsibility sits. The same company operates the sister brands on the same infrastructure, and the same policy applies to all of them. Being Canadian matters legally: we are subject to PIPEDA, and privacy complaints can be taken to the Office of the Privacy Commissioner of Canada.

2.Two kinds of people

Two very different people read this page, and they have different rights.

Pet owners who call or message a veterinary clinic. You did not choose VetWiseAI — you rang a veterinary clinic and an assistant answered. The veterinary cliniccontrols your information; we hold it on their behalf.

Veterinary clinics who buy the service. You are our customer, you own your data, and you decide what the assistant does.

In legal terms: the veterinary clinic is the controller of caller information and we are the processor. We do not sell data, and we do not use one customer’s data to answer another customer’s calls — every account is isolated at the database level.

3.If you called or messaged a veterinary clinic

The assistant takes the practical details a clinic needs to call you back — your name and number, your pet’s name and species, and a short description of what is happening. It is not a medical record system. Anything clinical stays a note for the clinic’s staff to read, not a diagnosis.

Typically that means your name, your phone number or email, and what you said.

If your animal is in distress, do not wait for a call back. The assistant will say the same and give you the clinic’s emergency instructions, but a bleeding, collapsed, or struggling-to-breathe animal needs a person immediately — call the clinic directly or your nearest emergency veterinary hospital.

4.You are talking to an AI

The assistant says so. It identifies itself as an AI at the start of a conversation, and it is built on a principle we do not bend: AI is a bridge to people, never a replacement for them. Its job is to take your details and get a human involved.

  • It is not a veterinarian, and it does not diagnose, prescribe, or give veterinary medical advice.
  • It does not decide whether an animal needs to be seen, or how urgently.
  • It does not quote a final price or commit the clinic to a course of treatment.

If you would rather not speak to an assistant at all, say so, or hang up and email the veterinary clinic directly. Nothing is withheld from you for declining.

5.Transcripts and recordings

These are two different things, and the difference matters, so we state it plainly rather than lumping them together.

Transcription is what normally happens. Speech on a voice call is converted to text so the veterinary clinic can read what was said and follow up properly. The assistant tells callers the call may be transcribed and reviewed by authorised staff.

Audio recording is a separate feature, and it is off by default. A veterinary clinic administrator can turn it on. When it is on, the caller is told at the start of the call that it may be recorded, and continuing the call is how consent is given. If you do not want to be recorded you can hang up and use email, web chat, or an in-person visit instead.

Where recording is on, any caller may ask for a copy of their own recording, or ask for it to be deleted, by writing to privacy@churchwiseai.com. Deletion requests are completed within five business days.

6.If you are a veterinary clinic customer

You own your data. That includes transcripts, contact and callback records, your knowledge base and FAQ content, team member records, configuration, and usage analytics. You can export it, and you can ask us to delete it.

We hold your account email, billing details (through Stripe — we never see your full card number), the content you give the assistant to work from, and the records the assistant creates. We use it to run the service, bill you, and support you. Nothing else.

7.Who else touches the data

We do not sell personal information, and we do not share it for advertising. We do use service providers to run the product, and they see only what they need to do their part:

We may also disclose information where the law requires it, or where there is a genuine risk to someone’s life or safety.

A veterinary clinic administrator can delete individual records earlier at any time, and can ask us to delete an entire account’s data.

9.Security

Data is encrypted at rest with AES-256 and in transit with TLS 1.2 or better; voice connections use secure WebSockets. Backups are encrypted and held in geographically separate regions. No customer data is stored on employee devices, and none is kept on your device beyond a session token.

If a breach affecting personal information occurs, we notify affected customers and the appropriate regulator as PIPEDA requires, and we keep the record of it for at least 24 months.

10.AI training

We do not train AI models on your data. The model providers we use state in their API terms that data sent through the API is not used to train their models, and we hold data processing agreements with them. Requests are processed and discarded; providers may hold them briefly for abuse monitoring, typically up to 30 days.

11.Your rights

Whether you are a caller or a customer, you can ask what we hold about you, ask for a copy, ask for a correction, ask for deletion, or withdraw consent. Write to privacy@churchwiseai.com.

If you called a veterinary clinic and want your information removed, you can write to us directly — you do not have to go through the veterinary clinic — though we may need to notify them, since the records are theirs.

If you are unhappy with how we handle a request, you can complain to the Office of the Privacy Commissioner of Canada.
